Applicant Tracking Systems have become more sophisticated in 2026. They no longer just scan for keywords — modern ATS platforms like Workday, Taleo, Greenhouse, and Lever also evaluate formatting structure, section completeness, and contextual relevance of experience. Understanding what they prioritize is the foundation of writing an effective resume.
ATS compares your resume text against the job description. Missing exact or near-exact keywords lowers your match score.
Sections must use expected labels: Work Experience, Education, Skills. Creative headings like 'My Journey' get misclassified.
ATS reads left-to-right, top-to-bottom. Multi-column layouts, tables, and text boxes break the reading order.
Name, phone, email, and city must be in the document body — not in headers or footers, which many parsers skip entirely.
Date formatting must be consistent: Jan 2023 – Present or 01/2023 – Present. Mixed formats confuse parsers.

Your format determines how recruiters perceive your career story and how ATS systems parse your information. Most candidates should use reverse-chronological. Here's when each format works:
Best for: Most candidates — consistent work history
Lists your most recent experience first. The most widely accepted format. Preferred by ATS systems and recruiters.
Best for: Career changers, long gaps
Leads with skills rather than timeline. Rarely used — many ATS systems penalize this format.
Best for: Experienced professionals, career pivots
Opens with a strong skills summary, then follows with reverse-chronological experience. Balances both worlds.
Page length rule
Freshers and 0–3 years experience: 1 page. 3–8 years: 1–2 pages. 8+ years: 2 pages maximum. Academic and research CVs are the only exception — they can run longer.
Include every section that's relevant to your profile. Use these exact heading names — ATS systems are trained to recognize them.
Full name, phone (with country code for international applications), professional email, city & country, LinkedIn profile URL. Do not include date of birth, photograph, marital status, or passport number unless the job explicitly requires it.
2–3 sentences. State your title, years of experience, and 1–2 specific strengths. Tailor this to every application. Avoid generic phrases like 'dynamic professional' or 'team player.'
Reverse-chronological. Company name, job title, start–end dates (month/year), city. 3–5 bullet points per role. Lead with action verbs. Every bullet should describe an action and its result.
Degree name, institution, graduation year. Include CGPA or percentage if strong (above 7.5/10 or 75%). Freshers: list relevant coursework and academic projects here.
Separate technical skills (languages, tools, frameworks, platforms) from domain skills. ATS systems rely on this section heavily for keyword matching. Be specific — list 'Python (NumPy, Pandas)' not just 'Python.'
Critical for freshers. Include 2–4 projects with: what it does, tech stack used, your specific role, and outcome. Link to GitHub or live URL where possible.
Include if relevant: issuing authority, certification name, year. Google, AWS, Microsoft, Coursera, NPTEL, and PMI certifications carry weight with most recruiters.
Include for international applications or roles where multilingual ability is an advantage. State proficiency: Native, Fluent, Conversational, Basic.
The difference between a resume that gets shortlisted and one that doesn't is almost always the quality of the bullet points. Recruiters spend 6–10 seconds scanning a resume. Your content needs to communicate impact instantly.

How to quantify when you don't have exact numbers
Estimate conservatively and note it as approximate. "Processed approximately 40–50 customer inquiries daily" is better than "Handled customer inquiries." Other metrics: team size, project budget, geographic scope, number of clients, technology stack scale, or time saved.
ATS platforms rank your resume by how closely it matches the job description. Keyword optimization is not about stuffing terms — it's about using the right language in the right context.
No work experience is not the same as nothing to show. Freshers consistently underestimate how much relevant material they have. Here's how to structure a strong first resume.
2–4 academic or personal projects beat a blank experience section. Name the project, tech stack, your role, and what it produced. Link to GitHub if you have one.
A 2-week internship still counts. List what you did, what tools you used, and one outcome — even 'helped the team build X' is legitimate content.
Google, AWS, Microsoft Learn, Coursera, NPTEL, and Udemy courses are taken seriously by technical recruiters. Include the issuer and year.
Participation shows drive. Wins and rankings show performance. Both are worth including — list the event, organizer, and your result.
Club president, event coordinator, sports captain, or volunteer organizer — these demonstrate soft skills that freshers otherwise can't show.
Hobbies, personal interests, and random school events dilute your resume. Every line should connect to the job you're applying for.
With 3+ years of experience, recruiters expect evidence of progression, ownership, and measurable business impact. The bar shifts from "what you did" to "what changed because of you."
Promotions, expanded scope, increased team size. If you were promoted, say it explicitly — 'Promoted to Senior Analyst within 18 months.'
Roles older than 10–12 years can be listed in a single line or removed entirely if they don't support the target position.
'Built the pricing model used in a product that generated ₹4Cr in ARR' is far more powerful than 'Developed pricing models.'
Mentorship, cross-functional project ownership, presentations to senior leadership — include these even if they weren't formal responsibilities.
If you have 8+ years of relevant experience, a two-page resume is standard and expected. Don't sacrifice content to fit one page.
At senior levels, a well-crafted 3-sentence summary at the top can determine whether the rest of the resume gets read at all.
Using a generic objective statement
Fix: Replace with a 2-sentence professional summary tailored to the specific role and company.
Listing duties instead of achievements
Fix: Every bullet should answer: what did you do, how did you do it, and what was the result? Use numbers.
Multi-column layout or graphic elements
Fix: Use a single-column layout. No progress bars, icons, or text in tables — ATS cannot parse them.
Custom fonts and unusual formatting
Fix: Stick to Arial, Calibri, or Helvetica at 10–12pt. Consistent formatting throughout.
Exaggerating or misrepresenting facts
Fix: Background checks verify employment dates, titles, and education. Be accurate.
Submitting the same resume everywhere
Fix: Tailor your skills section and summary to match keywords in each job description.
Missing or incorrect contact details
Fix: Double-check your phone number, email, and LinkedIn URL every time before applying.
Including irrelevant old experience
Fix: Trim roles older than 10–12 years that don't add value for the target position.

Different industries have different expectations. Tailor your approach to your sector.
